don’t worry about how it looks yet. We will fix that now.

Part 2: Mastering Basic Text Formatting

This section covers the core skills. These are the tools you will use most often.

Step 3: Selecting Text – The First Rule

You must select text before you can change it. This is the golden rule. Click at the start of the text you want. Hold down your mouse button. Drag the cursor to the end. The text will be highlighted in gray or blue. You can also double-click a word to select it. Or triple-click a paragraph.

Step 4: Changing Font Style, Size, and Color

Look at the “Home” tab at the top. Find the “Font” group. It has several dropdown menus and buttons.

  • Changing Font Style: Click the dropdown arrow next to the font name (e.g., Calibri). A list will appear. Scroll and click on a new font like “Arial” or “Times New Roman.” Your selected text will change instantly.
  • Changing Font Size: Next to the font style is the size box. It might say “11.” Click the arrow. Choose a larger number like “14” or “16” for bigger text. Choose a smaller number for finer print.
  • Changing Font Color: Find the “A” icon with a colored bar underneath. Click the small arrow next to it. A color palette opens. Click any color you like. Your text will change to that color.

Action: Select your first sentence. Change its font to Georgia, size to 14, and color to Dark Blue.

Step 5: Using Bold, Italic, Underline, and Other Formatting Tools

These are the quick-formatting buttons. They are right next to the font size box.

  • Bold (B): Makes text thicker and darker. Great for headings.
  • Italic (I): Slants the text to the right. Used for emphasis or titles.
  • Underline (U): Draws a line under the text. Useful for links or strong emphasis.

How to use them: Select your text. Click the B, I, or U button. To turn it off, select the text and click the button again.

Other Formatting Tools: Look for these nearby:

Strikethrough (abc) – Puts a line through text.

Subscript (Xβ‚‚) – Makes text small and low (like Hβ‚‚O).

Superscript (XΒ²) – Makes text small and high (like mΒ²).

Action: Select the second sentence in your document. Make it Bold and Italic.

This is like using a marker pen on paper. It draws attention. Find the “Text Highlight Color” button in the Font group. It looks like a marker pen over a yellow bar.

Method 1: Select your text. Click the highlight button. It will apply the default color (usually yellow).

Method 2: Click the arrow next to the button first. Choose a color from the menu. Your cursor turns into a marker. Click and drag over any text you want to highlight. Press the Esc key to turn the marker off.

Action: Highlight a key phrase in your third sentence using a light blue color.

Part 3: Applying and Clearing Formatting Efficiently

Step 7: Using the Format Painter

This is a huge time-saver. It copies formatting from one text to another. First, select text that has the formatting you like. Then, go to the “Home” tab. Click the “Format Painter” button (it looks like a paintbrush). Your cursor will change to a paintbrush. Now, select the text you want to reformat. The style will be copied instantly.

Pro Tip: Double-click the Format Painter button to lock it on. You can paint formatting onto multiple sections. Click the button again or press Esc to turn it off.

Step 8: Clearing All Formatting

Made a mess? It is easy to start over. Select the text with unwanted formatting. In the “Font” group on the “Home” tab, look for a button with an eraser and an “A” on it. This is “Clear All Formatting.” Click it. Your text will revert to the default, plain style (Calibri, size 11, black).

Part 4: Troubleshooting Common Problems

πŸ› οΈ Troubleshooting Tips

Problem: I can’t find the formatting buttons.

Solution: Ensure you are on the “Home” tab. All basic tools are there.

Problem: The formatting only applies to one letter.

Solution: You did not select all the text. Remember to highlight the entire word or section you want to change.

Problem: My highlighted text prints in color, and I want black and white.

Solution: Go to File > Options > Display. Uncheck “Print background colors and images.” The highlight may still show on screen but not on paper.

Problem: I used Format Painter, and now everything is bold.

Solution: You likely locked it by double-clicking. Press the Esc key on your keyboard to deactivate it.

Problem: The font I want isn’t in the list.

Solution: You may need to install the font on your computer. Basic fonts like Arial and Times New Roman are always available.

Part 5: Practice and Next Steps

The best way to learn is by doing. Create a new document. Write a short paragraph about your day. Now, practice:

  1. Change the title to a large, bold, blue font.
  2. Italicize an important thought.
  3. Underline a key date or name.
  4. Highlight the most important sentence in yellow.
  5. Use the Format Painter to make two headings look the same.

Congratulations! You have mastered the essentials of Basic Text Formatting in Microsoft Word. You can now confidently change font style, size, and color. You know how to use Bold, Italic, Underline, and other formatting tools. And you can effectively use Highlighting text for review and emphasis.

Your documents will no longer look plain. They will communicate your ideas with clarity and style. Ready for more? Explore paragraph formatting, styles, and page layout in your next lesson!
